1. About us : 

KLS Interiors provides soft furnishings to individuals and organisations within the trade.

2. The Purpose of this Notice: This Notice is designed to help you understand what kind of information we collect in connection with our business and how we will process and use this information. 

In the course of our business, we will collect and process information that is commonly known as personal data.

This Notice describes how we collect, use, share, retain and safeguard personal data and sets out your individual rights to know what data is held about you, how this data is processed and how you can place restrictions on the use of your data.

We may update this Notice from time to time at our discretion and in particular to reflect any changes in applicable laws. If we do so, and the changes substantially affect your rights or obligations, we shall notify you if we have your email address. Otherwise, you are responsible for regularly reviewing this Notice so that you are aware of any changes to it.

3. What is Personal Data: Personal data is information relating to an identified or identifiable natural person. Examples include an individual's name, age, address, date of birth, gender and contact details.

4. Personal data we collect

From time to time you may provide to us personal data. This may be because:

·  You access our website;
·  You book an appointment with us, either by email, telephone or on our website
·  You purchase soft furnishings from us;
·  You provide feedback or reviews to us, respond to a survey or questionnaire;
·  You otherwise contact us including with queries, comments or complaints. 

We shall process all such personal data in accordance with this Notice. Certain personal data is mandatory to be provided to us in order that we can fulfil your request and we shall make this clear to you at the point of collection of the personal data.

All personal data that you provide to us must be true, complete and accurate.  If you provide us with inaccurate or false data, and we suspect or identify fraud, we will record this and we may also report this to the appropriate authorities.   

When you contact us by email or post, we may keep a record of the correspondence and we may also record any telephone call we have with you.

If you visit our website (klsinteriors.co.uk) we may collect your personal data through your unique online electronic identifier. (This is commonly known as an IP address.)

We will collect electronic personal data when you visit our website where we will place a small text file that is commonly known as a cookie on your computer. Where we collect data directly from you we are the data controller.

Where we use third parties to process your data, these parties are known as processors of your personal data.

A data "controller" means the individual or organisation which, alone or jointly with others, determines the purposes and means of the processing of personal data.

A data "processor" means the individual or organisation which processes personal data on behalf of the controller.

5. How we use your personal data

We will only use your personal data where we have a lawful basis to do so.  The lawful purposes that we rely on under this Notice are: 

·   consent (where you choose to provide it);
·   performance of our contract with you;
·   compliance with legal requirements; and
·   legitimate interests.   When we refer to legitimate interests we mean our legitimate business interests in the normal running of our business which do not materially impact your rights, freedom or interests.

We need your personal data to be able to offer, quote, provide, invoice for soft furnishing services in accordance with our contract with you.

We may from time to time need to use your personal data to comply with any legal obligations, demands or requirements, for example, as part of anti-money laundering processes or to protect a third party’s rights, property, or safety.  

 We may also use your personal data for our legitimate interests including:
·  to improve our website and services;
· in connection with, or during negotiations of, any merger, sale of assets, consolidation or restructuring, financing, or acquisition of all or a portion of our business by or into another company;
·  to deal with any questions or comments you raise;
·  for audit purposes; and
·  to contact you about changes to this Notice as set out above.

6. Marketing

If you contact us to enquire about soft furnishings or to discuss providing soft furnishings to you or others, or we deliver soft furnishings to you, we consider that we have a legitimate business interest to provide you with information about future soft furnishing services that we may offer. 

You may request to be withdrawn from any promotional or marketing emails or other contacts from us at any time by emailing office@klsinteriors.co.uk or clicking unsubscribe from a marketing email.  Please note that it may take us a few days to update our records to reflect your request.

If you ask us to remove you from our marketing list, we shall keep a record of your name and email address to ensure that we do not send to you marketing information.  If you have placed an order with us, we shall continue to contact you in relation to your order only.

(We have no intention of sharing your personal data with third-parties for marketing purposes.)

7. Who do we share your data with?

For our legitimate interests, we may share your personal data with our service providers, sub-contractors and agents that we may appoint to perform functions on our behalf and in accordance with our instructions, including our fitters and suppliers, IT service providers, payment providers, accountants, auditors and lawyers.   

We shall provide our service providers, sub-contractors and agents only with such of your personal data as they need to provide the service for us and if we stop using their services, we shall request that they delete your personal data or make it anonymous within their systems.

8. Where we hold and process your personal data

Some or all of your personal data may be stored or transferred outside of the United Kingdom for any reason, including for example, if our email server is located in a country outside the United Kingdom or if any of our service providers are based outside of the United Kingdom.

Where your personal data is transferred outside the United Kingdom, it will only be transferred to countries that have been identified as providing adequate protection for personal data or to a third party where we have approved transfer mechanisms in place to protect your personal data. 

9. Data Security

We have put in place appropriate security measures to prevent your personal data from being accidentally lost, used or accessed in an unauthorised way, altered or disclosed. Access to your personal data is limited to us and any third parties who have a business need to know such data. 

10. Data Retention

Subject to the provisions of this Notice, we will retain personal data in accordance with applicable laws.

In particular, we shall retain your personal data for as long as you access or use our services. However, we may also be required to retain personal data for a particular period of time to comply with legal, auditory or statutory requirements, including requirements of HMRC in respect of financial documents.

Where we have no legal basis for continuing to process your personal data, we shall either delete or anonymise it or, if this is not possible (for example, because your personal information has been stored in backup archives), then we will securely store your personal information and isolate it from any further processing until deletion is possible.

We will comply with any legal requirements when retaining this data.

11. Your rights

Individuals are provided with legal rights governing the use of their personal data. These grant individuals the right to understand what personal data relating to them is held, for what purpose, how it is collected and used, with whom it is shared, where it is located, to object to its processing, to have the data corrected if inaccurate, to take copies of the data and to place restrictions on its processing.  Individuals can also request the deletion of their personal data.

Individuals can exercise their Individual Rights at any time. As mandated by law we will not charge a fee to process these requests, however if your request is considered to be repetitive, wholly unfounded and/or excessive, we are entitled to charge a reasonable administration fee. 

You should understand that when exercising your rights, a substantial public or vital interest may take precedence over any request you make. In addition, where these interests apply, we are required by law to grant access to this data for law enforcement, legal and/or health related matters.
